GBSUP refund policy

This policy outlines the terms and conditions for refunds related to participation in GBSUP organised events, which may include workshops, equipment demos, talks, and social activities as part of the event ticket.


Please note that this policy applies only to events and ticketing managed directly by GBSUP. Events and bookings managed by external partners are subject to their own refund policies, for which GBSUP is not liable.

1. Cancellation by Participants:

  • More than 30 days before the event date: Participants who cancel their registration more than 30 days before the event will be eligible for a full refund of the event ticket price, minus any non-refundable administrative or processing fees (see section 3).

  • Between 14 and 30 days before the event date: Participants who cancel their registration between 14 and 30 days before the event will be eligible for a 50% refund of the event ticket price, minus any non-refundable administrative or processing fees (see section 3).

  • Less than 14 days before the event date: No refunds will be issued for cancellations made less than 14 days before the event date. This is due to logistical arrangements and potential impact on event capacity.

  • No-Shows: Participants who do not attend the event without prior cancellation will not be eligible for a refund.

 

2. Category Changes:

  • Category changes are permitted without charge up to one week (seven days) before the event date, subject to availability within the new category.

  • Category changes requested within one week (seven days) of the event date will incur a £10 administrative fee.

  • No category changes will be permitted within three days of the event date.

 

3. Administrative and Processing Fees:

  • A non-refundable administrative or processing fee of £1 may be deducted from all refunds to cover transaction costs. This will be clearly stated during the registration process.

  • Refunds will typically be processed back to the original payment method used for registration. Please allow 7 business days for the refund to appear in your account.

 

4. Event Changes, Postponements, or Cancellations by GBSUP:

  • Postponement: If GBSUP is required to postpone an event due to unforeseen circumstances (e.g., adverse weather conditions, safety concerns), participants will be offered the option to:

    • Transfer their registration to the rescheduled event date at no additional cost.

    • Receive a full refund of their event ticket price, including any administrative or processing fees. Participants must notify GBSUP of their choice within five days of the postponement announcement.

  • Cancellation: If GBSUP is required to cancel an event entirely, all registered participants will receive a full refund of their event ticket price, including any administrative or processing fees.

  • Significant Changes: If the event details change significantly (e.g., the location), GBSUP will notify registered participants, and they will have the option to receive a full refund if they no longer wish to participate.

 

5. Special Circumstances:
Requests for refunds or transfers due to medical reasons will be considered on a case-by-case basis, subject to the provision of supporting medical documentation (e.g., a doctor's note). Please contact GBSUP as soon as possible with relevant documentation.


Other extenuating circumstances will be reviewed individually at the discretion of GBSUP. Participants should contact GBSUP with detailed information regarding their situation.
